Giving family and friends access to contribute
How user management works
Forever in Heart is built around the idea that preserving a memory is a shared responsibility. The User Management system lets you invite family members, friends, and caregivers to contribute to and help manage your memorials — while you remain in full control.
The User Management menu is visible in the sidebar to Master Admins and Super Admins. It contains two sections: Members (everyone currently with access) and Invitations (pending and past invitations).
How to invite someone
Open User Management
In the sidebar, click "User Management" to expand the section, then click "Invitations".
Click "Invite Member"
Click the invite button to open the invitation form.
Enter their email and name
Type the email address of the person you want to invite. Add their name so the invitation feels personal.
Select memorial access
Choose which memorial(s) they should have access to. You can select multiple memorials. For each, choose an access level: View, Contribute, or Admin.
Send the invitation
Click "Send Invitation". The person receives an email with a unique invitation link valid for 72 hours.
They accept
When they click the link, they will be guided to create an account (if new) or log in (if existing). Once they accept, they appear in your Members list.
Understanding access levels
When you invite someone, you choose how much access they have to each memorial:

|---|---|
| View | Can view the memorial page, biography, photos, tributes, and obituary. Cannot make any changes. |
| Contribute | Can add photos to the gallery and leave tributes. Cannot edit the memorial details or obituary. |
| Admin | Can edit all memorial details, write and publish the obituary, add photos, and manage tributes. Cannot invite new members unless also a Super Admin. |
Account roles vs memorial access levels
There are two separate permission systems in Forever in Heart that work together. Account roles control what someone can do within your account as a whole. Memorial access levels control what they can do on specific memorials.
| Account Role | Description |
|---|---|
| Master Admin | The account owner. Created automatically for every registered user. Has full control over all memorials and members. Cannot be removed or demoted. |
| Super Admin | Can invite others, manage members and roles, and has Admin-level access to all memorials in the account. |
| Moderator | Can view content and moderate tributes. Cannot edit memorials or invite others. |
| Viewer | Read-only access to the memorials they have been specifically granted access to. |
Changing roles and removing members
Open Members
In the sidebar, click User Management → Members. You will see a list of everyone with access to your account.
Change a role
Click the role badge or the edit icon next to a member's name. Select a new role from the dropdown and save. Changes take effect immediately.
Update memorial permissions
To change which memorials a member can access, click their name and update the memorial access section.
Remove a member
Click the remove button next to a member to revoke their access. Their account is not deleted — they simply lose access to your memorials. You can re-invite them at any time.
Managing pending invitations
You can view all sent invitations under User Management → Invitations. Pending invitations show the invited email, the memorials they will gain access to, and the expiry date (72 hours from sending).
- If an invitation expires, you can send a new one at any time.
- You can revoke a pending invitation before it is accepted.
- A maximum of 10 invitations can be sent per hour to prevent misuse.
- If the invited person already has a Forever in Heart account, they log in to accept rather than registering.
